Invoicing by Fusion Payments — Customer statements
Can I send a customer a statement of everything they owe?
Yes. "Statement" on the customer’s page downloads a PDF with every open invoice on one page — issued, due, total, paid and balance, how late each one is — a "Total owed" line, an aging summary from "Not yet due" to "Over 90 days", and the last ten payments received.
Every invoice number on the statement is a link to that invoice’s own payment page, so the customer can pay each one from the statement. It carries your header and logo and never shows a cost or your notes. You download it and forward it; each invoice is still sent on its own.
-
Aging counted from the due date
A Net-30 invoice issued last week is "Not yet due", not late.
-
Nothing owed says so
A statement for a customer with no open balance says exactly that.
A/R aging
How do I get an accounts receivable aging report?
The "Who owes you" table on Reports lists every customer with an open balance, largest first, split by how many days past due the money is — "Not yet due", "1–30 days", "31–60 days", "61–90 days", "Over 90 days" — with a total row. It is always as of today, and "Export CSV" downloads it.
Beside it sit "By month", which shows what you invoiced and received month by month with the tax billed and collected, and "Top customers", ranked by what they paid you with their open balance today. Reports show no costs and no profit; that lives on the Profit page, which only you see.
-
Overdue is by your own calendar
Invoices go overdue at midnight in your business’s time zone, set once in Settings.
-
Follow-up is built in
Automated reminders chase every sent invoice before due, on the due date and while overdue, and stop the moment it is paid.
Invoicing by Fusion Payments — For the bookkeeper
How do I reconcile deposits against invoices?
The Payments CSV on Reports is one row per payment: date and time, invoice, customer, amount, surcharge, method — card, bank, check, cash or other — who recorded it, and the processor’s own reference. It is the file for reconciling deposits.
Every table on Reports downloads for the period you pick, and the invoice list exports the same way with every filter applied. No export anywhere in the app carries a cost or a profit figure, because exported files get forwarded.
-
Card and bank, kept apart
Received amounts split into card, bank and other in the By month CSV, because the two reach your bank on different days.
-
Into QuickBooks Online
The Invoices list also downloads a QuickBooks Online import file of sent and paid invoices, in QuickBooks Online’s own shape.
-
Settlement batches, on supported processors
Reports reads the gateway’s settlement batches live as they close, card and bank never summed together, and flags each batch against the payments recorded here.

Q-01Can I email the statement from the app?
Not yet. "Statement" downloads the PDF and you send it. Each open invoice on it can be paid from its own link.
Q-02Is the aging as of a date I choose?
No. "Who owes you" is always as of today. For an exact date range of invoices, use the date pickers on the Invoices list and export it.
Q-03Does the statement show partial payments?
Yes. Each line shows the invoice total, what has been paid and the balance, and the statement lists the customer’s last ten payments.
Q-04Can my bookkeeper log in?
Yes. Invite them from Settings → Users. They join as Staff with full use of the app, and an owner can change roles or remove access at any time. Nothing anyone did is deleted when access is removed.
Q-05Can I see my settlement batches?
On supported processors, yes. Reports lists the gateway’s settlement batches as they close, card and bank kept apart, with a match flag per batch against the payments recorded in the app. On any processor, the Payments CSV with the processor’s own reference is the reconciling file.
